Executive Assistant

The Position: Our Client is searching for an Executive Assistant. Our Client is offering the following benefits:

Requirements:

  • Five years of executive administrative experience.
  • Associate Degree (or equivalent work experience).
  • Experience working with a Board of Directors
  • Proficiency in MS Office Software

Responsibilities:

  • Responsible for assisting CEO and other executive team members. Working with senior leadership; acts as the office manager and is responsible for the overall day to day management of the administration office building and its budget. Direct supervision of the Administrative Assistant. Build ongoing relationships with community contacts/partners through providing quality customer service and prompt feedback.
  • Attends executive team and other committee meetings taking minutes as directed. Answers phones answer phones and manage the schedule of the CEO. Keeps the CEO schedule organized and timely. Photocopy, fax, email, and distribute documents/correspondence to board, staff and managers as requested. Manages purchasing accounts specific to the Administration office functions. Communicates with internal and external customers regarding OCHS issues that impact staff and community partners. Organize and manage board meetings and all board correspondence. Assist in board recruitment and new board member orientation.
  • Completes assigned projects and management of programs as required. Manages contracts and agreements as assigned. Active member of assigned projects, committees. As office manager responsible for assignment of office/meeting space, equipment, supplies and maintenance for the Administration building.
  • Shows initiative and works well independently to improve and maintain all customer relations and satisfaction. Represents OCHS in a professional manner at community events as required. Manages patient complaints that are received by Administration. Follows patient complaint policies and procedures to resolve complaints. Adheres to the organization's corporate compliance program requirements. Performs other duties as assigned.
