Job SummaryUnder moderate supervision, responsible for the completion of tender and quotation requests. Complete and request contractors’ documents to complete bids as per local governments and customer requirements. Help reps specify the information, enter the quote into the system and work with rep to provide pricing to the customer in a professional manner meeting customer expectations. MAJOR JOB DUTIES AND RESPONSIBILITIES (List in order of importance) Prepares all quotes over 25 lines and / or $2500.00 cost. Responsibilities include helping reps specify the information, enter the quote into the SAP system and work with rep to provide pricing to the customer in a professional manner meeting customer expectations. Prepare and manage timelines for all formal tenders. Working with sales reps, vendor reps and managers to provide all the information requested in the Tender document. Bid coordinators are required to read all Tender documents and understand the Terms and Conditions that must be flagged. Must provide responses to Tenders professionally meeting deadlines, completing customer paper work accurately and ensuring that VWR’s Delegation of Authority policy is adhered to. Prepare lab startup documents working with reps. Upfront information is often limited from customer and startups require product selection, adding promotions and enhancing quotes with descriptions, pictures, links and pdfs. Responsible for adding promotions on to quotes and tenders, CFI’s , cross referencing, offering private label options where and when applicable, adding PDF’s and enhanced descriptions to quotes and Tenders, responding to customer inquiries regarding quotes, working with Vendor reps and communicating with VWR sales reps. Responsible for following misc quotation and misc chemical processes. Works with Regulatory to ensure compliance. Collaborates with Contracts and Sales team to review contract terms and conditions to validate that VWR can support contract obligations. Creates pricing files for analysis. Assists with the training of new Bids and Quotes Coordinators. Performs other duties as assigned or as required by the customer. QUALIFICATIONS (Education/Training, Experience and Certifications) College Diploma or University Degree – Science related program preferred 1 – 3 years bids and quotes experience or 1- 3 experience within VWR KNOWLEDGE SKILLS AND ABILITIES (Those necessary to perform the job competently) Communication skills-Verbal and written-capable of providing information concisely and accurately Listening Skills-Must be able to take time to listen and confirm understanding of request Comprehension-Must be able to understand Terms and conditions in Tenders Problem Solving Skills-Ask effective questions to find key indicators to resolve problem Organizational and Time Management Skills-Can handle many tasks and manage time to ensure deadlines are met Ability to work independently and as part of a team Must be able to work effectively under pressure-Due to deadlines and volume must be able to handle daily stress Advanced computer skills and ability to learn complex internal programs Advanced Excel skill set - ability to build basic and complex formulas Product Knowledge Business Knowledge ENVIRONMENTAL WORKING CONDITIONS & PHYSICAL EFFORT (Under Typical Positions) Typically works in an office environment with adequate lighting and ventilation and a normal range of temperature and noise level. Work assignments are diversified. Examples of past precedent are used to resolve work problems. New alternatives may be developed to resolve problems. A frequent volume of work and deadlines impose strain on routine basis. Minimal physical effort is required. Work is mostly sedentary but does require walking, standing, bending, reaching, lifting or carrying objects that typically weigh less than 10 lbs.
